How do I create, edit, and delete protocols? [Incl Tips]

Your Nines account comes with a set Protocols template consisting of 13 chapters as developed over decades by Marta Perrone, advisor of Nines and an expert in house manuals and household management.
Below you will find the template chapters incl tips on what to think about as you build them out. with sections in those chapters. At the same time, you can easily delete or edit these chapters as well. To add new chapters and sections, you click the '+' and write out the title before confirming. To edit or delete chapters and section, you click the '...' and select the edit or delete option. To reorder chapters and sections, you click the '...' next to Chapters giving you the option to 'Reorder'. Within the sections, you can click Edit to add and format the contents as well as upload any attachments such as images or a PDF to accompany the text.

Administrative
  • Outline staff and their responsibilities
  • Who is responsible for managing staff, vendors, assets, calendar, payments, and travel?
  • How do you prefer to have meetings with staff and communicate throughout the day?
 
Staff
  • Clarify the way staff should act in the presence of residents. How should they dress and interact with family members and their guests?
  • Share any HR information and etiquettes for staff. What are the do's and don'ts, and how can they track their hours and provide feedback?
  • Link to any important documents, such as an employee handbook or code of conduct.
Household
  • List important preferences related to doors, windows, lighting and shading, temperature, phone, mail, flower and plants, and security.Link to any zones to add clarity around where you prefer things to be done.
Clothing and Valet
  • Outline each resident's preferences for clothing and valet.
  • What are your household's preferences for laundry schedules, requirements for laundry detergent and other laundy products?
  • Do you use any services outside the house for laundry and/or drycleaning?
  • How does each resident prefer their closet?
 
Housekeeping
  • Think about the level at which you want your home to be cleaned — should it feel pristine, or tidy but lived-in?
  • Outline the optimal service flow, and note when housekeeping staff can begin cleaning
  • Be clear about when and how staff members should clean each zone.
  • Include requirements for cleaning products and special care instructions for your art and antiques
     
Property
  • List the essential home systems that need to be maintained. What are the important details for each one, how do they need to be maintained, and what vendors do you use to maintain them?
  • Note any schedules and link to any important documents, like warranties and manuals.
     
Culinary
  • List out all of your household's dietary requirements, answering questions like:
  • Are there diets or allergies for members of the family?
  • Who is in charge of making each meal, setting the table, and cleaning the kitchen after each meal?
  • Who will keep the refrigerator, pantry, kitchen and pantry clean?
  • Who is in charge of keeping track of grocery inventory, and purchasing food and staples
  • What are your household's preferences for table setting styles for regular meals, or special occasions when you're hosting guests?
  • Link to important pantry and shopping lists.
 
Inventory
  • Outline your household's most important inventory lists, ranging from toiletries and cleaning products to wine cellar and light bulbs.
  • Who is responsible for managing each of the inventory lists?
  • What is the protocol for ordering for the household?
  • How are the receipts handled?
     
Entertaining
  • Break down all the details of how your household manages events.
  • Which vendors do you use for the different aspects of events?
  • What is handled by catering and rental companies, and what are the responsibilities of your in-house staff?
  • Will housekeepers serve as clean-up staff or will others be involved?
 
Travel
  • List protocols for travel, from packing lists and car service details, to flight and hotel preferences.
  • Note any favorite destinations, accommodations and restaurants to reserve.@ mention important vendors and agents.
  • Keep track of frequent flyer details and favorite wines at each destination.
 
Pets
  • If relevant, name the pet(s) on the property and include any important details.
  • What do the pet(s) eat and at what times?
  • Who is responsible for feeding and caring for the pet(s), including pet supply inventory?
  • @ mention the vet so you have quick access to contact information and location.
  • Can the pet(s) access all zones and can they be on the furniture?
     
Childcare
  • If relevant, note the important details about and preferences of the child(ren) in the household.
  • What are their allergies and dietary preferences?
  • What activities do they do and where?
  • Do they have nannies and what are their schedules?
  • In terms of raising the child(ren), who is in charge and who has what authority?
  • What is the etiquette at home and travelling?
     
Safety
  • Outline your houshold's procedures for security.
  • @ mention your emergency contacts.
  • Outline your emergency exit plan and grab-and-go list.
  • Where are your fire extinguishers, flash lights, and first aid kits?
  • Are there EPI pens and defibrillators on premise, and which staff members know CPR?
