How do I manage permissions for sensitive fields and what fields are included?
Nines allows you to control access to sensitive information using role-based permissions. This ensures users only see the data they need, while confidential and sensitive details remain protected.
How Sensitive Field Permissions Work
Within each permission role, you can specify whether users assigned to that role are allowed to view sensitive fields.
-
If enabled, users can see all standard information and sensitive details.
-
If disabled, users can still access the relevant records (such as assets or residents) but sensitive fields will be hidden.
Example:
A user may be able to view an asset and its description, location, and care instructions, but not its purchase cost or estimated value.
This makes it easy to give operational access to staff, vendors, or service providers without exposing private data.
What Happens When Access Is Restricted
For users without permission to view sensitive fields:
-
Sensitive values are hidden throughout the platform
-
Calculations, rollups, and totals that rely on those fields are not shown
-
The rest of the record remains fully accessible based on their role permissions
No data is deleted or modified—visibility is simply limited.
Best Practices
-
Limit sensitive field access to principals, family office leadership, and trusted financial stakeholders
-
Use restricted roles for household staff, vendors, and external collaborators
-
Review role permissions periodically to ensure they still match responsibilities
