Each task can be assigned to one or multiple users, given a due date, and set to recur if needed. You can also include notes, attachments, or checklists within a task. Best practice is to be specific with task names, assign ownership, and link tasks to a Project, Asset, or Vendor for added context.
Lists are collections of related items or tasks, grouped by theme, location, or routine. They’re especially helpful for recurring processes like a weekly cleaning checklist, preparing your home for fall, or managing to-dos for guest arrivals. You might have a List titled “House Opening in the Hamptons” that includes every step needed to get the property ready. Lists help you organize your items or tasks in a structured way, making it easy to track progress and reuse them season after season. (Note that you can convert a List item to a Task or load a List in a Task)
Logs serve as a record of what has happened. Documents can also be linked directly to related Tasks, Logs, or Projects, so context is always preserved. Keeping your key Documents in Nines helps streamline communication, reduce clutter, and ensure everyone on your team is working with the right information.
Schedules help you manage who is assigned where and when. They give you a clear, centralized view of coverage across your staff, vendors, residents, and other contacts. Schedules are designed to track time on site—not just events or tasks—so you can see who is scheduled to be on which property each day, and understand team availability at a glance. You can filter Schedules by property or person and view coverage across the week, making it easier to coordinate assignments and avoid overlap. Schedules update in real time and give you flexible control to manage each week individually.
Events capture calendar-based appointments, visits, or occasions across your properties. They help you plan and communicate time-specific moments—like vendor visits, travel days, family events, or recurring meetings. Events are displayed in your Calendar view and can be filtered by property, person, or type. You can add notes, attach files, and link Events to Projects or Documents for additional context. Events are best used when timing matters and communication is key—while Schedules track presence, Events track plans.
